Board Meetings During COVID 19

Good morning! We have a board meeting tonight! Five of us will be calling in and four will be socially distanced apart in person. We will live stream the meeting to the public. We will be up and running with video conferencing that we can live stream by our April meeting. How is everyone else handling board meetings?

  • We had our first Zoom BOE meeting Wednesday night. Through the work of some IT folks and the district clerk it went of without a hitch. Some small bumps, but we had BOE members get on 1/2 hour early so we can be ready for the go live on FB event. The only feedback so far was to be sure members are properly using their mute buttons when not speaking as we picked up a lot of at home noise and activities. Each BOE member has a chrome book assigned they can use or they can use their own device. We had members at home, at work and one was parked in her car.
  • The board is in one location, sitting 6 feet apart. We are using Facebook live and allowing people to post comments in the chat. We have someone reading the comments during the "public comment period." We did this on 3/17 and it was very successful. The challenge is providing a full transcript of the meeting. Our clerk has to listen to the recording multiple times to make sure she has everything written down.
  • We will be using Webex - doing some practice with the tech first. Has anyone incorporated public comment to a video/virtual meeting? Our team has differing opinions on how to handle this.
  • Our district has been using Vimeo live stream to record and live stream meetings for over a year now. We use the Owl Labs camera which allows for 360-degree views and identifies the person speaking. It took us a couple tries to get it but we are now fully up and running.
  • You publicly post the link amd anyone can join the meeting that would like to. An admin has control of mute for background noise. They can comment in tje public time period also.
  • I should note we have been live streaming our meetings for a year and a half already so that’s not new for us.
  • Last week we met and live streamed the meeting. We had one board member on the phone, remaining Boe (4) and essential central office staff and attorney in person. 10 people total. Next meeting we will video conference and live stream the video to the public. We are also allowing the public to send the district clerk emails before the meeting if they have any questions.
  • We are going to use Google meet this Thursday, with a test run this evening.
  • We are purchasing Zoom to use for our next meeting. I wish the Governor had been more flexible with OML and allowed us to record and post the meeting, not just live stream.
  • We had our meeting on Wednesday with Zoom. All 7 boe, superintendent and secretary at home with a public invite and it was recorded for transcription. It was very easy for us and some public join also. I highly recommend it.
